But are business owners paying enough attention to the risks? Artificial intelligence is already influencing how businesses operate, communicate with customers and manage information. Yet behind the enthusiasm, business leaders are asking difficult questions: Is AI genuinely improving profitability? Can we trust its output? How do we protect confidential data? And who takes responsibility when it gets something wrong? ### We explore these questions with Karl Konicz, COO and Owner of Circle UK Group. ![Circle UK 2026 Large-023](https://circleukgroup.co.uk/hs-fs/hubfs/Team%20Images(other)/Circle%20UK%202026%20Large-023.jpg?width=2000&height=1333&name=Circle%20UK%202026%20Large-023.jpg) ## Are business owners under pressure to adopt AI, even when they're not entirely sure why? **Karl:** "Absolutely. There's a feeling that if you're not using AI, you're falling behind. You see competitors talking about automation and naturally wonder whether you're missing something. But I'd ask a different question: what exactly are you trying to improve? If a process takes hours every week, that's worth exploring. Introducing AI without understanding the problem first isn't a strategy. I'd rather see a business do one thing properly than invest in five systems simply because they're fashionable." ## AI is often sold as a way to reduce costs. Is it really delivering a return on investment? **Karl:** "That's one of the most important questions a business owner can ask. People focus on the subscription price, but that's not the full picture. You have implementation, training, checking output and correcting mistakes. Saving time doesn't automatically mean saving money. If AI turns a two-hour task into 20 minutes, what happens to the time saved? Does it help you serve more customers or improve quality? That's where the real value should be measured." ## Can AI actually make a business less efficient? **Karl:** "Of course it can. Imagine an AI-generated report that looks professional but contains mistakes. If someone spends hours checking and correcting it, have you really saved anything? We shouldn't confuse speed with quality. A confident-sounding answer isn't necessarily an accurate one. Leaders must avoid creating a culture where people stop questioning what a system tells them." ## What concerns you most about employees using tools like ChatGPT at work? **Karl:** "Not that they're using AI. I'd expect people to explore ways to work more effectively. What concerns me is whether they understand the implications. If someone uploads a client contract, financial report or sensitive operational information, do they know what happens to that data? Do they have permission to share it? Businesses already have confidentiality and data protection standards. AI shouldn't be an exception. People need practical guidance, not just access to technology." ## Will AI replace employees? **Karl:** "Some roles will change significantly, but I don't think we should see AI purely as a replacement for people. It can help with repetitive work, processing information and identifying patterns. But business also depends on relationships, judgement and accountability. In security, technology can support operational decisions, but when an incident happens, experienced people must understand the circumstances and respond. The question is how we develop teams to use technology well." ## Who is accountable when AI gets something wrong? **Karl:** "Ultimately, the business. You can't say the technology got it wrong and assume the responsibility disappears. An AI system might help draft a risk assessment, but a competent person must review it against actual conditions on site. Risk assessments aren't simply paperwork. Missing a hazard can have serious consequences. The same principle applies to financial decisions, customer advice and operational planning." ## Is AI making fraud and cybersecurity threats more difficult for smaller companies? **Karl:** "Potentially, yes. Smaller businesses don't always have specialist security teams, while fraudulent messages and impersonation can be increasingly convincing. If an urgent payment request appears to come from a Managing Director, would the team know how to verify it? Technology alone isn't enough. Clear procedures, awareness and a culture where people feel able to question unusual requests are just as important." ## Where do you see the greatest opportunity for AI in security and risk management? **Karl:** "Helping businesses make better use of information. Organisations collect incident reports, operational records, security information and compliance documents. AI can help identify patterns and make information easier to interpret. But recognising a potential risk isn't the same as knowing how to respond. Two sites with similar issues may need different solutions. That's where professional experience and reliable information matter." ## What advice would you give a business owner who hasn't started using AI? **Karl:** "Don't panic, but don't ignore it. Start by understanding how the business operates. Identify one process where better tools might help, set clear safeguards, test the results and measure the impact. You don't need to transform your company overnight. Being first isn't necessarily the same as being successful. Stay curious, ask questions and invest where there's a genuine benefit." ## The real question for business owners AI adoption is accelerating, but adoption alone does not guarantee progress. Businesses still need reliable information, practical employee guidance, measurable value and clear accountability.
